Recording Income & Expenditure

All income received and expenditure incurred should be recorded in your WI account book as soon as possible.

You can use:

  • the NFWI electronic Account Book spreadsheet (recommended)
  • the NFWI paper Account Book
  • your own accounting system, provided it records all the information required by the NFWI

Keeping Supporting Records

Many Treasurers find it helpful to keep a separate supporting or working spreadsheet to record the detail behind the figures entered into the Account Book. This provides a quick overview of income and expenditure without having to search through the main accounts.

For example, you might keep separate worksheets for:

  • members' subscriptions
  • event income
  • meeting receipts (such as raffle, refreshments, trading stall and books)
  • meeting costs (hall hire, speakers and refreshments)
  • fundraising activities
  • any other significant income or expenditure

Maintaining these supporting records can make it much easier to reconcile your accounts, answer queries and prepare your end-of-year accounts.
